Terms and Conditions

Palm & Social proudly serves the greater Tampa Bay area, including:

Tampa • St. Petersburg • Clearwater • Belleair • Dunedin • Safety Harbor • Largo • Palm Harbor • Sarasota • Bradenton • Wesley Chapel • Brandon • Riverview

Events outside our standard service area may be subject to a travel fee.

Travel, lodging, parking, tolls, airfare, transportation and other travel-related expenses may be billed separately when applicable.

A signed service agreement and 50% non-refundable retainer are required to secure your event date, unless otherwise stated in your contract.

The remaining balance is due 14 days before the event, unless otherwise stated in your contract. 

For events less than 14 days away, payment is due in full at time of booking.

For larger or multi-day events, we may establish a customized payment schedule.

Important:

Your date is not considered officially reserved until:

1. The service agreement has been signed; and
2. The required retainer has been received.

Because event dates are reserved exclusively for each client, we may decline other events for the same date once your booking is confirmed.

Because Palm & Social reserves planning time, resources and event dates specifically for each client, retainers are non-refundable, unless otherwise stated in your event contract.

If a client cancels an event:

• The initial retainer remains non-refundable.
• Work already completed or expenses already incurred may be billed.
• Third-party vendor deposits and fees remain the client's responsibility.
• Cancellation more than 60 days before the event may be eligible for a partial refund of amounts paid beyond the retainer, subject to the signed service agreement.
• Cancellation within 60 days of the event may result in the remaining contracted balance becoming due.

We will make reasonable efforts to accommodate a date change.

A rescheduled event is subject to:

• Palm & Social availability
• Vendor availability
• Venue availability
• Applicable price differences
• Additional vendor or venue fees
• A rescheduling fee

Any rescheduling terms will be outlined in the client's service agreement.

Palm & Social frequently coordinates with independent vendors and service providers.

Third-party expenses may include:

• Venue fees
• Catering
• Florals
• Décor
• Rentals
• Entertainment
• Photography
• Videography
• Transportation
• Hotels
• Restaurants
• Activities
• Staffing
• Security
• Permits
• Delivery
• Setup & breakdown
  

Unless explicitly stated otherwise, these expenses are not included in our planning fees and remain the client's responsibility.

Vendor pricing and availability can change without notice.

To maintain the level of personalized service associated with the Palm & Social experience, certain dates and events may require a minimum planning investment.

Holiday weekends, major Tampa Bay events, New Year's Eve, destination-style events, multi-day events and short-notice bookings may require a higher minimum.

Custom contracts will be provided based on the specific scope of the event.

We understand that fabulous events sometimes come together quickly.

Events booked within 30 days may be accepted based on availability and may be subject to a 25% expedited planning fee.

Events booked within 14 days may require a custom rush fee and full payment before planning begins.

No two celebrations are exactly alike.

Our packages provide a starting point, but we understand that your event may not fit neatly into a package.

For that reason, Palm & Social reserves the right to customize any package, scope of services, guest count, planning timeline, staffing requirements and investment based on the unique needs of your event.
